Office Assistant
St. Joseph’s Church in Garden City, NY is seeking a Full-Time Office Assistant for the parish Faith Formation Department. The person filling this role is expected to work 35 hours a week, Monday through Thursday. The position also requires some evening hours while classes are in session, as well as, the Saturdays when the children receive the Sacraments of Penance and First Holy Communion. The office opens in late August; classes begin in early October and run through late April. The office closes for the summer in late June. The Program follows the calendar of the local public-school district. While this job description describes a full-time position, the parish is open to engaging two part-timers who would divide the responsibilities based on areas of expertise and availability
Responsibilities:
Manage daily operations including but not limited to phone, clerical, correspondence, mail, emails and record keeping.
On-site coordination and overseeing of classes.
Prepare folders for classes, make copies for teachers as requested, arrange and assign substitute teachers as needed.
Maintain accurate attendance records and assign and collect make-up assignments
Process online payments and send out invoices.
Collaborate with the Coordinator in planning curriculum for the year to prepare Levels 1-5 to receive Sacraments.
Attend Parent and teacher meetings for Levels 1-5.
Assist the Coordinator as needed with all programs overseen by the Faith Formation Department.
Qualifications:
High School Diploma, at least some college preferred.
Excellent computer skills, including Microsoft Office, Excel and Google Forms.
Ability to learn or have prior knowledge of ParishSOFT and ParishSOFT Giving.
Friendly, patient, reliable, timely, and able to multitask.
